The Alliance of Independent Buying Agents (“Alliance of Independent Buying Agents”, “we”, “us” or “our”) is a UK-based directory of Independent Buying Agents in the property sector, we do not represent or accredit individuals or their actions . We are committed to protecting personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and, where applicable, the EU GDPR.
This Privacy Notice explains how we collect, use, disclose and otherwise process personal data when you visit our website (Alliance of Independent Buying Agents.net), use the Alliance of Independent Buying Agents Platform, or otherwise interact with us. This Notice applies only where we act as data controller. It does not create any contractual rights or remedies beyond those required by applicable law.
Important note on our roles
For data we collect directly (e.g. website visitors, marketing contacts, customer account administrators), we act as data controller.
Where our customers use the Alliance of Independent Buying Agents Platform to process data from connected building systems (such as occupancy insights, access logs, visitor records or other telemetry that may relate to identifiable individuals), we act solely as a data processor. Our customers remain the data controllers and are fully responsible for ensuring a lawful basis for processing, providing privacy information to individuals, obtaining any required consents, and responding to data subject requests.
Alliance of Independent Buying Agents has no direct relationship with those individuals. All such queries or requests must be directed to the relevant customer (typically your building owner, employer or facilities manager). To the fullest extent permitted by law, Alliance of Independent Buying Agents accepts no liability for our customers’ compliance with data protection laws or for any claims arising from data they provide to us.
1. Personal data we collect
We may collect:
- Identity and contact data (name, title, company, email, telephone, postal address)
- Account and profile data (login credentials, preferences)
- Technical and usage data (IP address, browser/device information, operating system, pages visited, usage patterns)
- Marketing and communications data (preferences, feedback, survey responses)
- Any other information you voluntarily provide
We do not knowingly collect special category data unless instructed by a customer (and only as processor under their documented instructions).
2. How we collect personal data
Directly from you, automatically via cookies and similar technologies, from third parties (e.g. business partners, publicly available sources), and from building systems connected by our customers (as processor).
3. Purposes and lawful bases
We process personal data on the following bases:
- Performance of a contract
- Compliance with legal obligations
- Legitimate interests (service provision and improvement, fraud prevention, network security, analytics, product development, direct marketing to existing business contacts where permitted by law)
- Consent (where required)
We have conducted legitimate interests assessments where relevant.
4. Aggregated and anonymised data
We may aggregate, anonymise or de-identify data. Once anonymised, this data is no longer personal data. We may use, disclose and exploit such data freely for any purpose, including commercial, research, benchmarking and product development purposes, without restriction or further notice.
5. Sharing your personal data
We may share personal data with:
- Our affiliates and trusted service providers/sub-processors (e.g. cloud hosting, analytics, payment, support) subject to appropriate contractual protections
- Professional advisers, auditors and insurers

We do not sell personal data. When acting as processor, sharing occurs only in accordance with customer instructions.
6. International transfers
Alliance of Independent Buying Agents is based in the United Kingdom. Personal data may be transferred to, stored and processed outside the UK/EEA (including other EMEA countries). Where required, we use UK International Data Transfer Agreements, EU Standard Contractual Clauses (supplemented by UK addendums) or other approved mechanisms.
By using our website or services, you acknowledge and consent to such transfers, including to countries that may not offer the same level of protection as the UK or EEA.
7. Data security
We implement commercially reasonable technical and organisational measures to protect personal data. However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee the absolute security of your personal data. Any transmission is at your own risk. You are responsible for keeping your account credentials secure.
In the event of a personal data breach, we will notify affected parties and supervisory authorities only where we are legally required to do so.

We retain personal data only for as long as necessary for the purposes described, to comply with legal obligations, resolve disputes or protect our legitimate interests. Retention periods are determined by us in our sole discretion.
When we act as processor, retention is governed by our Data Processing Agreement with the customer.

You have certain rights under data protection law (access, rectification, erasure, restriction, portability, objection, withdrawal of consent). These rights are not absolute.
We may refuse, limit or charge a reasonable fee for manifestly unfounded, excessive or repetitive requests, or where we cannot verify your identity to our reasonable satisfaction. Exercising certain rights may prevent us from providing all or part of our services.

You may complain to the UK Information Commissioner’s Office (ICO) at www.ico.org.uk or your local supervisory authority.

11. Third-party links and integrations
Our website and Platform may link to or integrate with third-party sites or building systems. We are not responsible for the privacy practices, security or content of such third parties.

You are responsible for ensuring that any personal data you provide to us (including data about others) is accurate, up to date and provided with a valid lawful basis. You warrant that you have the right to transfer such data to us.
